POSITION SUMMARY

The Contracts & Legal Administrator supports the operational and administrative functions of the Legal department as directed by the Contracts & Legal Manager. This role involves managing and facilitating the contract lifecycle, assisting with compliance and governance matters, supporting intellectual property maintenance, and providing overall support to the legal team.

Work Schedule: Monday-Friday 8:00am-5:00pm  

Contracts & Legal Administrator Salary Range: $64,480 - 77,376.00/year

Responsibilities

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Supports contract management workflows, including consulting with company stakeholders to gather information, preparing draft documents based on Legal department forms, preparing summaries of variances for review by the Contracts & Legal Manager, and notifying company stakeholders of contract renewal and termination dates.
  • Maintains inventory of all company contracts and key dates, including vendor and supplier agreements, license agreements, confidentiality agreements, lease agreements, powers of attorney, etc.
  • Monitors contract expiration dates and proactively manages renewals and amendments.
  • Assists in the development and implementation of contract management processes and policies.
  • Assists with the maintenance of corporate records, including organization of corporate documents and processing of corporate filings.
  • Supports legal document preparation and assists with regulatory filings.
  • Monitors compliance with internal policies, industry regulations, and legal requirements.
  • Maintains corporate intellectual property portfolio for company trademarks, patents, and copyrights.
  • Supports outside counsel in preparing and processing intellectual property filings.
  • Provides general administrative support to the Contracts & Legal Manager.
  • Creates and maintains detailed tracking and reporting.
  • Maintains and organizes legal files, documents, and databases to ensure they are up-to-date and easily accessible.
  • Conducts research in support of legal analysis as directed by Contracts & Legal Manager or CFO.

Qualifications

POSITION QUALIFICATIONS

Education & Experience: Bachelor’s degree in either Political Science, Legal Studies, Business or related field, plus 3 to 5 years of related experience in legal administration or a similar role, preferably within a corporate legal department or law firm; or equivalent combination of education and experience. Familiarity with legal terminology and understanding of legal processes and concepts.

Computer Skills: Proficiency in all Microsoft applications. Experience with legal management software is desired.
